How We Built an AI That Books Appointments While You Sleep

One of the most common things we hear from business owners is some version of: "I know I'm losing leads after hours, I just don't know what to do about it."

We heard it enough times that we decided to build a solution and run it ourselves first — before recommending it to anyone. The result is Amy, our own AI voice agent that handles every inbound call to CyberCraft360.

Here's exactly how she works, what we learned building her, and what the results have looked like.

The Problem We Were Solving

CyberCraft360 gets inbound calls at all hours. Potential clients are often business owners themselves — they research and reach out when they finally have a free moment, which is frequently evenings and weekends.

We had two options: hire someone to cover phones around the clock, or build an AI that could do it. We built the AI.

The goals were clear:

  1. Answer every call instantly, no matter the time
  2. Sound like a real person — warm, conversational, not robotic
  3. Qualify the lead (understand their business and what they need)
  4. Book a strategy call with Saad directly on the call
  5. If they're not ready to book, capture their email and follow up

How We Built It

Amy runs on four layers working together, each chosen specifically for phone-call performance.

Voice layer — Amy's voice is synthesized in real time using a best-in-class AI voice platform tuned for telephony. The output is optimized for speed and clarity — no unnatural pauses, no robotic cadence. Most callers genuinely can't tell they're not talking to a person.

Intelligence layer — The language model powering Amy's responses was selected for one specific reason: sub-second latency. Any noticeable lag on a phone call kills the conversation. We use a primary model with automatic fallback to a secondary so Amy stays responsive even during infrastructure hiccups.

Memory layer — Amy maintains full context for the duration of every call. If a caller gives their email in minute three, Amy recalls it in minute seven without asking again. State is stored per call so nothing gets lost between turns.

Telephony layer — The underlying call infrastructure handles routing, real-time speech recognition, and audio delivery. It's the same kind of enterprise-grade phone infrastructure that large call centers use — we've just connected it to AI instead of human agents.

What Amy Actually Does on a Call

When someone calls the CyberCraft360 number, Amy answers on the first ring.

For inbound calls, she greets warmly: "Thank you for calling CyberCraft360, this is Amy — how can I help you today?"

From there, she listens. She doesn't run through a script — she responds to what the caller actually says. If they're asking about pricing, she talks about pricing. If they're venting about a problem, she empathizes before pivoting. If they're clearly ready to book, she moves straight to the close.

When a caller agrees to a strategy call, Amy:

  1. Asks for their email address
  2. Reads it back letter by letter to confirm accuracy
  3. Asks whether mornings or afternoons work better
  4. Checks if they have any other questions
  5. Closes warmly and sends a confirmation

The entire booking happens on the call, without anyone on our team being involved.

What We Learned

The hardest part isn't the technology — it's the personality.

Early versions of Amy were technically functional but felt robotic. The problem wasn't the voice or the speed — it was the system prompt. When we wrote the instructions as a rigid step-by-step script, Amy sounded like she was following a script. When we rewrote it to describe how a great salesperson thinks and responds, the quality jumped dramatically.

The lesson: AI voice agents fail when they're programmed like a form. They succeed when they're designed like a person.

Response length matters enormously.

On a phone call, two sentences is usually right. Three sentences is occasionally fine. Four sentences is too long — the caller starts to feel talked at. We cap every Amy response at 2–3 sentences and it makes a significant difference in how natural the call feels.

Speed is non-negotiable.

If Amy takes more than 1.5 seconds to respond, callers start talking over her or think the call dropped. We optimized everything — the AI model, the audio delivery, the call infrastructure — to keep response time under a second in normal conditions.

The Results

Since deploying Amy:

  • Zero missed calls — every inbound call is answered, day or night
  • Consistent quality — every caller gets the same warm, professional experience regardless of time or day
  • Bookings on nights and weekends — roughly 30% of strategy calls booked through Amy happen outside business hours

The calls that require a human — complex situations, existing clients with specific questions, anything that needs Saad's direct involvement — get flagged and handled by us. Everything else, Amy handles.
